Overview
The Clerical Assistant will perform a variety of administrative and office support tasks, such as managing correspondence, organizing files, scheduling appointments, answering phone calls, and maintaining databases. The ideal candidate will be organized, detail-oriented, and possess strong communication skills.
Key Responsibilities:
Answering Phones: Handle phone calls, take messages, and direct calls to the appropriate person or department.
Data Entry and Record Keeping: Input, update, and maintain accurate records in databases or filing systems.
Filing and Organizing: Sort, file, and organize documents and records in a systematic manner for easy access and retrieval.
Scheduling and Appointment Management: Schedule meetings, appointments, and maintain calendars for staff or executives.
Correspondence Management: Draft, proofread, and send routine emails, letters, and other communications.
Office Supplies Management: Monitor and order office supplies as needed to ensure the smooth operation of the office.
General Clerical Duties: Perform photocopying, scanning, faxing, and mail distribution tasks.
Customer Service: Greet visitors and clients, assist with inquiries, and provide information about office procedures.
Support Other Staff: Assist other departments or team members with administrative tasks when needed.
Skills and Qualifications:
Education: High school diploma or equivalent (some positions may require additional education such as an associate degree or certifications).
Experience: Prior office or clerical experience is preferred but not always required.
Communication: Strong verbal and written communication skills.
Organization: Ability to manage multiple tasks and prioritize efficiently.
Attention to Detail: Precision in handling tasks, especially when inputting data or managing documents.
Computer Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (fax machines, printers, etc.).
Time Management: Ability to manage time effectively, meet deadlines, and handle multiple responsibilities simultaneously.
Customer Service: A professional demeanor with excellent customer service skills.
