Overview

We are seeking a highly organized and customer-focused Front Desk Receptionist & Office Assistant to provide administrative and clerical support. This role serves as the first point of contact for clients, vendors, and employees, ensuring smooth communication and efficient office operations. The ideal candidate is professional, detail-oriented, and capable of multitasking in a remote work environment.

Responsibilities:

Reception & Customer Service

  • Serve as the first point of contact for phone calls, emails, and online inquiries.
  • Greet and assist clients and guests virtually, ensuring a positive experience.
  • Manage the company’s main communication channels, responding to inquiries promptly.
  • Schedule and coordinate virtual meetings, appointments, and conference calls.

Administrative Support

  • Assist with document preparation, data entry, and record-keeping.
  • Maintain and organize digital files, correspondence, and company records.
  • Handle incoming and outgoing mail and packages as needed.
  • Support HR and management with onboarding paperwork and scheduling.

Office Coordination

  • Manage office calendars, appointments, and travel arrangements.
  • Order office supplies and maintain inventory records remotely.
  • Coordinate internal communications and assist with basic IT troubleshooting.
  • Assist with special projects and other administrative tasks as assigned.

Qualifications & Skills:

  • Proven experience in a receptionist, office assistant, or administrative role.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Familiarity with virtual meeting tools (Zoom, Teams, Google Meet).
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and work independently in a remote setting.
  • Strong problem-solving and time-management abilities.

Qualifications:

  • Experience with CRM or customer service software.
  • Prior experience working in a remote environment.
  • Basic knowledge of bookkeeping or accounting software is a plus.
