Position Summary
The Remote Medical Scheduler plays a vital role in supporting patient access and ensuring smooth coordination between patients, healthcare providers, and clinical teams. This position is responsible for handling appointment scheduling, verifying patient information, managing inbound and outbound calls, and maintaining accurate documentation within electronic medical record (EMR) systems. The ideal candidate is detail-oriented, patient-focused, reliable, and capable of managing a high volume of administrative tasks with professionalism and confidentiality.
This role is fully remote and requires a high degree of independence, communication skills, and adherence to HIPAA and organizational guidelines.
Key Responsibilities
* Manage inbound and outbound calls to schedule, confirm, or reschedule patient appointments.
* Coordinate patient scheduling across multiple providers, clinics, and specialties.
* Accurately enter and update patient information in EMR/EHR systems.
* Verify insurance details when required and route questions to appropriate teams.
* Assist patients with appointment preparation instructions and answer general inquiries.
* Communicate effectively with clinical staff, medical assistants, and administrative teams regarding workflow needs.
* Monitor scheduling queues, daily reports, and appointment requests to ensure timely follow-up.
* Identify scheduling conflicts or errors and resolve them promptly.
* Maintain strict patient confidentiality in accordance with HIPAA standards.
* Support patient outreach initiatives, including appointment reminders and follow-up calls.
* Ensure all scheduling policies, clinical protocols, and documentation standards are consistently followed.
* Participate in training sessions, quality-assurance reviews, and regular team meetings.
Required Qualifications
* High school diploma or GED required; associate degree in healthcare administration or related field preferred.
* Minimum 1–2 years of scheduling, medical office, or healthcare customer-service experience.
* Familiarity with EMR/EHR systems (eClinicalWorks, Epic, Cerner, AthenaHealth, etc.) preferred.
* Strong communication skills, both written and verbal.
* Ability to manage high call volumes while maintaining accuracy and professionalism.
* Exceptional attention to detail, time-management, and organizational skills.
* Comfort working independently in a remote setting with minimal supervision.
* Basic understanding of medical terminology and clinical workflows.
* Reliable internet connection and a quiet, secure workspace.
Preferred Qualifications
* Experience in call centers, hospital scheduling centers, or multi-clinic scheduling departments.
* Knowledge of insurance types, referral processes, or pre-authorization procedures.
* Bilingual (English/Spanish or English/Arabic) is a plus.
* Prior experience supporting public-health initiatives or community-based healthcare programs.
