Overview

We are seeking a detail-oriented, proactive, and organized Administrative Assistant to support daily office operations and ensure efficient workflow. The ideal candidate will handle a variety of administrative and clerical tasks to help support managers, staff, and visitors of the organization.

Key Responsibilities:
Serve as the first point of contact for visitors and incoming inquiries.
Manage calendars, schedule appointments, and coordinate meetings.
Prepare and edit correspondence, reports, and presentations.
Maintain and organize filing systems, both digital and physical.
Order office supplies and ensure stock levels are maintained.
Assist in the preparation of regularly scheduled reports.
Handle travel arrangements and expense reports.
Support the onboarding process for new employees.
Perform data entry and maintain databases and contact lists.
Help plan and coordinate events and meetings.
Perform general office duties such as scanning, photocopying, faxing, and mailing.
Ensure the office environment is tidy, welcoming, and well-organized.

Requirements:
Proven experience as an administrative assistant or in a similar role.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills.
Strong organizational and time-management skills.
Attention to detail and problem-solving abilities.
Ability to work independently and collaboratively.
High school diploma or equivalent; associate’s or bachelor’s degree is a plus.

Preferred Qualifications:
Experience with office management software or tools (e.g., Google Workspace, scheduling platforms).
Familiarity with basic bookkeeping or HR processes.
Bilingual communication skills (if applicable to your organization).
