Overview
The Office Desk Support professional is responsible for providing administrative, technical, and logistical support within an office setting. This includes assisting staff with office equipment, managing front desk duties, resolving office-related technical issues, and maintaining a professional and organized office environment.
Key Responsibilities:
Front Desk Reception:
Greet and assist visitors, clients, and staff in a courteous and professional manner.
Answer and direct incoming phone calls, take messages, and handle inquiries.
Manage scheduling of appointments and meetings, including room reservations.
Administrative Support:
Assist with general office administrative tasks such as filing, data entry, and correspondence.
Prepare and maintain office supplies, ensuring that necessary items are stocked and accessible.
Handle mail and courier services, including sorting and distributing packages.
Technical Assistance:
Provide basic troubleshooting for office equipment (computers, printers, phones, etc.).
Assist in setting up new devices or systems and ensure software and hardware are functioning properly.
Collaborate with IT department for more advanced technical issues and repairs.
Office Coordination:
Ensure the office environment is clean, organized, and efficient.
Coordinate meeting arrangements, such as setting up audiovisual equipment, preparing refreshments, and organizing necessary materials.
Assist in organizing office events, team meetings, and conferences.
Database & Record Management:
Maintain and update company databases, ensuring all information is accurate and up-to-date.
Organize and store company documents and files in both physical and digital formats.
Customer and Client Interaction:
Provide exceptional customer service by addressing inquiries or issues that clients or internal teams may have.
Process orders, forms, or requests that come through the office desk.
Qualifications:
High school diploma or equivalent (Associate’s degree or higher preferred).
Previous experience in office administration, customer service, or technical support is a plus.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational, communication, and interpersonal skills.
Basic knowledge of office equipment (printers, copiers, etc.) and troubleshooting skills.
Ability to work independently and as part of a team in a fast-paced environment.

Work Environment:
Full-time position.
Work is typically performed in an office setting with standard office hours.
Occasional light lifting may be required (e.g., carrying office supplies or boxes).
